Terms and Conditions

These Terms and Conditions govern the use of Care Staff Academy's training services, including our online e-learning platform and face-to-face training programmes. By accessing our services, you agree to be bound by these terms.

1. General Provisions & Scope of Services

1.1 Care Staff Academy ("CSA") provides accredited online e-learning and face-to-face training programmes for healthcare professionals in the UK.

1.2 Access to our web portal and mobile application is free of charge. Learners can register, access training content, and complete assessments without any upfront cost.

1.3 Charges apply only when a certificate is requested upon successful course completion. The certificate becomes accessible only after payment.

1.4 All training content is delivered via our secure online platform or through scheduled classroom-based sessions facilitated by qualified trainers.

1.5 We reserve the right to revise course content and delivery formats without prior notice to maintain compliance with industry standards.

2. Contract Formation

2.1 A legally binding agreement is formed:

  • When an individual learner completes a course and purchases a certificate through the CSA portal or app.
  • When a corporate or agency client submits a registration or booking through email or portal.

2.2 Use of our platform implies agreement with the most recent version of these Terms.

2.3 These Terms prevail over any other terms submitted by the client, unless otherwise agreed in writing.

3. Pricing, Payments & Invoicing

3.1 Individual Learners

  • Registering and accessing courses is free.
  • Payment is only required when requesting a certificate.

3.2 Corporate Clients and Agencies

  • Clients are invoiced weekly or monthly based on total certificates accessed and any classroom training booked.
  • Payment is required at the time of certificate request unless credit terms are agreed.

3.3 Payment Methods: BACS, bank transfer, debit/credit card.

3.4 We reserve the right to withhold certificates or suspend services for non-payment.

4. Course Access & Delivery

4.1 Our Learning Management System (LMS) includes text, media, quizzes, and interactive content.

4.2 Learners must ensure internet access and compatible devices. CSA is not responsible for technical issues on the client side.

4.3 Classroom training must be attended in full to receive a certificate. Late arrivals may be refused entry.

4.4 Delegates attending while unfit (e.g., post-night shift or in uniform) may be denied participation.

5. Certificates of Completion

5.1 Certificates are issued upon full course completion and payment.

5.2 Digital certificates are issued via the learner portal. Hard copies may be provided for an additional fee.

5.3 Certificates remain the property of CSA until full payment is received.

5.4 CSA reserves the right to revoke certificates after 60 days of non-payment.

6. Cancellation & Refund Policy

6.1 Learners may cancel a certificate request within 14 days of payment if the certificate has not yet been issued.

6.2 No refunds for learners who:

  • Fail to attend a classroom course.
  • Begin or complete a course before cancellation.
  • Have already accessed/downloaded their certificate.

6.3 Classroom sessions may be rescheduled once with 48 hours' notice. Subsequent rebookings incur additional charges.

6.4 CSA may cancel any course and offer a refund or free reschedule.

7. Learner Conduct

7.1 Learners must behave respectfully. Harassment, abuse, or disruption will result in removal without refund.

7.2 Recording of classroom or online sessions is strictly prohibited.

7.3 Adequate English and relevant healthcare experience are required. Failure to meet prerequisites may disqualify a learner.

8. Agency & Corporate Bookings

8.1 Agencies are responsible for ensuring:

  • Delegate attendance and compliance.
  • Payment of all invoices.

8.2 Certificates are not issued until full payment is received.

8.3 No name changes permitted after registration. Cancellation policies apply.

8.4 Attempted poaching or hiring of CSA staff (especially trainers) within 6 months of contract termination is prohibited.

9. Intellectual Property

9.1 All content, branding, materials, and technology are the intellectual property of CSA or its licensors.

9.2 Learners may not reuse, resell, or copy materials without permission.

9.3 Any breach of IP terms may result in legal action.

10. Limitation of Liability

10.1 CSA's liability is limited to the total amount paid for the service or certificate.

10.2 We are not liable for:

  • Loss of business, profits, data, or opportunity.
  • Any indirect or consequential damages.

10.3 Nothing excludes liability for death or injury caused by negligence.

11. Force Majeure

CSA is not liable for service failures caused by events beyond our control including natural disasters, strikes, pandemics, or third-party failures. We may suspend or cancel services if disruption exceeds 4 weeks.

12. Termination

12.1 CSA may terminate contracts with immediate effect if:

  • A client becomes insolvent.
  • Payment obligations are breached.
  • CSA has reason to believe continued service is impractical.

12.2 Upon termination, all unpaid invoices become due. Materials must be returned or access withdrawn.

13. Governing Law & Jurisdiction

13.1 These Terms are governed by the laws of England and Wales.

13.2 All disputes will be resolved in the courts of England and Wales.
